About us

AM 4 AM is a Luxembourg-based startup specializing in the development, production,and commercialization of advanced materials for additive manufacturing. Our proprietary metal powder production technology enables new applications in industries such as space, aeronautics, and high-performance automotive racing.

After five years of intense R&D, we launched our first product: HiperAL, an aluminum alloy with best-in-class mechanical performance across a wide temperature range.

The career opportunity

We are seeking an Administrative Assistant to manage a variety of administrative, financial, and organizational tasks. This role is critical to ensuring smooth operations and freeing up the leadership team to focus on strategic priorities.

The position will start as a part-time role (50% – approximately 80 hours/month), with the potential to transition to full-time as the company grows.

Financial & Accounting Support

• Process incoming invoices and ensure timely payments
• Reconcile bank transactions and maintain accounting records
• Coordinate with external accountants for monthly closings and tax filings

Payments & Treasury Management

• Prepare payment batches and coordinate approvals
• Set up and monitor recurring payments (rent, subscriptions, suppliers)
• Track payment deadlines and send reminders

Purchasing & Supplier Management

• Request quotes and negotiate with suppliers
• Issue purchase orders and track deliveries
• Maintain an organized supplier database
• Handle routine purchases (office supplies, equipment, services)

Internal Coordination

• Collect and process internal requests (purchases, travel, administrative support)
• Prepare agendas and meeting minutes
• Serve as the point of contact between teams and external partners

Governance & Compliance

• Organize board meetings, general assemblies, and other governance events
• Prepare legal documents and minutes

Profile

• Proven experience in administrative, financial, or office management roles (2+ years preferred)
• Strong organizational skills and pragmatical sense
• Comfortable with Microsoft Office Suite (Outlook, Excel, Word, Outlook)
• Excellent written and verbal communication skills in English and French (any other language is a plus)
• Ability to work independently and manage multiple priorities
• Discretion and professionalism when handling confidential information
