Operations Back Office Specialist – Italian Speaker (CDD 12 months)

Role mission
You will be responsible for ensuring a smooth, accurate and timely order-to-delivery flow, coordinating suppliers, logistics partners and clients, while maintaining strong control over invoicing and payments.
This is a hands-on operational role at the core of the business.
Key responsibilities
Order & Logistics Management
• Receive and register client orders (Excel-based tracking)
• Send orders to suppliers and coordinate production / pick-up timing
• Organize transport with logistics partners (Dachser, Stef, Nagel etc.) according to client deadlines
• Monitor shipment status and proactively handle issues
• Prepare and manage transport documentation (DDT, CMR) and final invoices
Invoicing & Financial Follow-up
• Track customer outstanding balances
• Send weekly payment reminders and follow up on overdue invoices
• Coordinate actions when needed (agents, delivery blocks, credit insurance, legal escalation)
Administration & Data Management
• Maintain and update ERP/accounting tools (Fatture in Cloud)
• Record incoming/outgoing invoices
• Monitor and update warehouse stock levels within the system, ensuring alignment between physical and system quantities
• Support bank reconciliation and basic accounting flows
• Ensure accuracy and consistency of operational data
Key Account Support
• Respond to documentation requests from retail key accounts
• Provide timely and accurate operational information
Profile
Required
• Minimum 3 years experience in operations / back office / logistics / admin roles
• Italian (native or fluent)
• Highly organized, detail-oriented and reliable
Nice to have
• French or other European languages
• Experience in food industry / logistics / distribution
• Familiarity with accounting tools
